This policy describes how Freight Force Transportation Ltd. ("Freight Force", "we", "us", "our"), based in Surrey, BC, Canada, collects, uses and protects personal information. It applies to our marketing website at freightforcetransport.ca and our dispatch application at app.freightforcetransport.ca (together, the "Services"). We operate in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable British Columbia privacy legislation.

1. Information We Collect

From customers and contacts:

  • Contact details you provide when requesting a quote or registering an account: name, business name, phone number, and email address.
  • Shipment and delivery information: pickup and drop-off addresses, load description, pallet count, and special handling notes.
  • Correspondence and notes exchanged with our dispatch team.

From the dispatch application (app.freightforcetransport.ca):

  • Account credentials (email address and hashed password) for authorized users.
  • Order, invoice, and waybill records created or imported within the application.
  • Operational data entered by drivers or dispatchers: delivery status updates, timestamps, and route notes.

QuickBooks Online integration (when connected):

  • When a company account holder authorizes a QuickBooks Online (QBO) connection through the OAuth flow provided by Intuit, we receive and store OAuth access and refresh tokens. These tokens are encrypted at rest and used solely to read and write accounting records on your behalf.
  • We access the customer, invoice, and payment data necessary to synchronize freight invoices with your QuickBooks account. We do not read, store, or use any other QBO data.
  • QBO tokens are never shared with third parties and are revocable at any time through your Intuit account settings or by contacting us.

Automatically collected information:

  • Standard web server logs (IP address, browser type, pages visited, referring URL) retained briefly for security and diagnostic purposes. We do not use this data for advertising profiling.

2. How We Use Your Information

  • To respond to quote requests and schedule freight pickups and deliveries.
  • To operate our dispatch application and provide authorized users access to their order and invoice records.
  • To generate, send, and reconcile invoices, including synchronization with connected QuickBooks Online accounts.
  • To communicate with you about the status of a shipment or your account.
  • To send operational or service-related messages. We do not send marketing email without your consent, in compliance with Canada's Anti-Spam Legislation (CASL).
  • To investigate and respond to reported problems or complaints.

3. Storage and Security

Personal information is stored with cloud infrastructure providers located in North America. All data is encrypted in transit using TLS and encrypted at rest. Access to personal data is restricted to personnel who require it to perform their duties.

No security system is impenetrable. In the event of a breach affecting your personal information, we will notify you as required by applicable law.

4. Disclosure to Third Parties

We do not sell, rent, or trade personal information. We do not share personal information with third-party advertisers. We may share information in limited circumstances:

  • With service providers who process data on our behalf (cloud hosting, email delivery) under contractual obligations to protect the data.
  • With Intuit Inc. when you connect a QuickBooks Online account, governed by Intuit's own privacy policy.
  • When required by law, court order, or government authority.

5. Retention

We retain personal information for as long as necessary to fulfill the purposes described in this policy or as required by applicable law (including tax and commercial record-keeping obligations). When information is no longer needed, it is securely deleted or de-identified.

6. Your Rights

You have the right to request access to personal information we hold about you, to request corrections, and to withdraw consent to certain uses. To exercise these rights, contact us at the address below. We will respond within the timeframe required by applicable law.

7. Cookies and Tracking

Our marketing website uses session-functional cookies only (e.g., to remember form state). We do not use third-party advertising cookies or behavioral tracking technologies on any Freight Force web property.

8. Children's Privacy

Our Services are intended for businesses and adults. We do not knowingly collect personal information from individuals under the age of 18.

9. Changes to This Policy

We may update this policy from time to time. When we do, we will update the effective date at the top of the page. Continued use of the Services after an update constitutes acceptance of the revised policy.
